1. Who this notice covers
Harbor Grove Apps provides Product Document Manager, a Wix app for organizing public product PDFs. This notice covers that app and its help page. It does not describe other Harbor Grove Apps products, Wix’s own services, or an individual merchant’s store privacy practices.

2. Information the app handles
- Installation and access information: Wix installation and user identifiers, signed authorization information, and installation, removal and recovery records. These help verify access and keep different stores’ information separate.
- Product information: visible product IDs, names, available SKUs and visibility status retrieved when the merchant starts a catalog sync. The app also stores synchronization status and the document requirements the merchant selects.
- Documents and assignments: uploaded PDF contents, filenames, titles, types, sizes, file fingerprints, versions, version notes, product assignments and import/replacement preview records.
- Activity information: action descriptions, timestamps and the Wix user identifier associated with an action.
- Support information: the sender’s email address, messages, attachments and any other details voluntarily supplied when contacting support.
The current app does not request customer lists, orders, payment-card information or Wix passwords through its business APIs. A merchant’s PDF or support message may nevertheless contain personal information. Upload only material intended for public sharing; do not upload confidential documents.
Network requests necessarily provide technical information, such as an IP address and browser request headers, to the systems delivering the service. The app’s operational metrics record aggregate request categories, timings and health results. Hosting providers may process additional technical records under their own service terms.
3. Public PDFs and merchant controls
Current PDFs assigned to visible, active products are publicly downloadable without a shopper account. Their titles, document types and file sizes are also public. Anyone with an available download link can retrieve the file. Private version-history routes require authorized merchant access.
The merchant can change assignments, replace PDFs, review prior versions and export available reports. Removing assignments from all eligible products stops the app from serving that document’s public link. Changes to Wix product visibility take effect in the app after a successful catalog sync. Copies already downloaded or saved elsewhere cannot be recalled.
4. Why information is used and who receives it
Information is used to authenticate access, synchronize products, manage and deliver documents, maintain version history, prevent misuse, troubleshoot problems, operate backups and respond to support requests.
- Wix: installation, authorization, product-catalog and editor integration.
- Render: application hosting, the active database, document delivery and operational logs.
- Cloudflare R2: private offsite backup storage.
- Google Gmail: correspondence sent to the support address.
- Shoppers and other recipients: the public document information and PDF content the merchant chooses to make available.
Authorized operators may access information as needed for support, maintenance, security or recovery. Information may also be disclosed when required by applicable law or to address a specific security incident. The current app does not include advertising, cross-site behavioral analytics or AI analysis of uploaded PDF contents.
Service providers may process information in countries other than the merchant’s own. This app does not offer a country-specific storage guarantee.
5. Retention
While an installation is active, the app keeps its library, retained PDF versions, assignments, product records and activity history to provide its features. Replacing a file does not delete its older versions.
For installations with subscription access enabled, we also keep minimal verified subscription status, check times and transition dates. After Wix confirms a previously active subscription or trial has ended, editing pauses and the existing public PDFs and owner library remain available for 30 days. After that period, a fresh inactive-status check permits hourly cleanup of the active library and retained versions. The dashboard displays the cutoff. Re-subscription before cleanup keeps the library; later re-subscription starts empty. Verification or cleanup failures may delay deletion. Existing development libraries are not given a retroactive subscription deadline. See the subscription access policy.
After the app receives and verifies a Wix removal notification, it disables that installation’s app access and public downloads. Its library is retained privately for 30 days to allow checked recovery. An hourly cleanup process then removes its library and PDF versions from the active database. Processing failures can delay cleanup and require operator attention.
Private backup objects are configured to expire 30 days after upload. A backup made shortly before the library’s removal or subscription cleanup deadline can therefore retain a copy for roughly another 30 days, plus the provider’s expiration processing time. Backup expiration is not instant. Render also creates infrastructure disk snapshots, which its documentation describes as available for at least seven days after creation; this is not a maximum deletion deadline. Provider-managed snapshots and technical logs follow the provider’s retention practices. The periods above do not promise that every provider-held copy disappears on the same date. Minimal installation identifiers, subscription cleanup receipts identifying the deleted library generation, and removal/recovery records remain without a preset deletion date to prevent unauthorized reactivation; these are separate from the deleted PDFs and product library.
Ordinary support emails and attachments are removed from our support mailbox and operator-managed working copies within 90 days after a request is resolved. Information needed for a specific ongoing security, legal or payment matter may be retained until that need ends. This is an operator-managed process, not an automatic app feature. Email-provider backup and security records follow the provider’s own retention practices.
6. Requests and choices
Contact harborgroveapps@gmail.com to request access, correction or deletion of information associated with the app, or to ask about other applicable privacy rights. Include the store name and the nature of the request. Do not send passwords, access tokens or signed dashboard links. We may need to verify identity and authority before providing or changing store information.
Individual file and account-erasure requests currently require operator assistance; there is no self-service erasure button. Public copies held by others and backup retention may limit immediate removal of every copy. If the request concerns a document chosen by a merchant, contact that merchant as well.
7. Security and browser storage
The app uses HTTPS, verified Wix authorization, separate installation records, access-controlled history routes and private backups. No system can guarantee complete security, and these measures do not turn a public PDF into protected content.
The app’s own dashboard, widget and help pages do not set advertising cookies or use browser local storage to retain merchant documents. Wix, the merchant’s site and infrastructure providers have separate privacy and browser-storage practices.
8. Changes to this notice
Updates will be published with a new effective date. Material changes will be highlighted through the app or another appropriate notice before taking effect, with additional notice or consent where required.
